General Summary: 

The Academic Program Manager in the College of Science and Mathematics (CSM) contributes to the planning, coordination, and tracking of instructional activities and college-wide programs. The Academic Program Manager partners with departments, graduate programs, and university offices to inform instructional budgets, hiring decisions, student success initiatives, and enrollment planning. The role includes coordinating course scheduling, instructional planning, and data reporting. The role also manages time-sensitive academic and administrative processes, to support student onboarding, degree tracking and event coordination. This position requires strong analytical, organizational and communication skills and the ability to manage time-sensitive data and communications using academic management systems.

As a collaborative position, this role may occasionally be asked to contribute to tasks outside the primary scope of duties, including work across the College and with cross-college initiatives or programs. Occasional participation outside of usual working hours is also expected.

 

 

Examples of Duties: 

Instructional Planning Coordination

  • Direct and coordinate course scheduling operations across the College, overseeing room assignments, instructional modalities, and scheduling logistics; ensure compliance with university policies by communicating deadlines, procedures, and requirements to departments.
  • Guide and support departments and Dean's office staff in completing instructional planning deliverables using the CSM instructional planning platform, including forecasting forms, budget updates, and instructional hiring at all levels (TT, NTT, TA, TF)
  • Coordinate communications related to undergraduate academic operations, ensuring the accurate, timely, and consistent dissemination of information to departments, faculty, and other stake holders.
  • Maintain and enhance the CSM instructional planning platform with Registrar and departmental data; ensure budgetary and hiring accuracy, version control, and proper documentation and archiving to ensure continuity, compliance, and accessibility.
  • Develop and refine data reports, summaries, and dashboards to inform instructional planning, workload analysis, resource allocation, and academic operations
  • Recommend and implement process improvements to scheduling, planning workflows, and data management systems
  • Coordinate and assess supplemental student support and instructional programs, compiling participation data, outcomes, and impact reports
  • Contribute to the management and execution of data projects supporting enrollment planning, assessment, retention and persistence, and overall student success initiatives.

 

 

Graduate Program Coordination (Integrative Biosciences and Computational Sciences Ph.D. Programs)

  • Coordinate administrative and operational aspects of the Integrative Biosciences and Computational Sciences Ph.D. Programs, including admissions, enrollment, assistantship assignments, and academic progression tracking
  • Serve as liaison among students, faculty advisors, Graduate Program Directors, the Office of Graduate Studies, and International Students and Scholars Services; oversee onboarding, orientation, and course registration
  • Maintain comprehensive student records, monitor degree milestones, organize exams, dissertation proposals and defenses, and support graduation procedures.
  • Lead program communications and outreach, including recruitment, advertising, and alumni database; manage websites, brochures, handbooks, calendars, and coordinate orientation and program events such as seminars and workshops.

Cross-College and University Collaboration

  • Provide collaborative support to other members of the Dean's Office and the College of Science and Mathematics, as needed.
  • Perform additional duties and responsibilities as required to sustain operational continuity.
  • Occasional participation outside of usual working hours will be required for time-sensitive college priorities and events.
  • Contribute to cross-college projects and institutional initiatives.

 

 

Qualifications: 

  • Master's degree required
  • Minimum of 3-5 years ofrelevant professional experience, preferably in higher education
  • Strong organizational, analytical, and project management skills with the ability to handle confidential information
  • Positive mindset, enthusiasm, and collegiality
  • Excellent written and verbal communication skills
  • Ability to work independently and collaboratively in a fast-paced, deadline-driven environment
  • Experience working with scheduling systems (e.g., WISER/PeopleSoft), data platforms (e.g., HelioCampus), and standard office software
  • High level of proficiency using Excel and other Microsoft Office tools
  • Familiarity with graduate program coordination, academic planning, student programs, and data reporting processes in a college/university setting is highly desirable
