General Summary: 

The Assistant Manager for Library Access Services will support the Head of Library Access Services in all capacities, providing high-quality, front-line services to patrons of Healey Library. The incumbent will manage the student employees for the Access Services Desks. Working with the Head of Library Access Services, the Assistant Manager will foster and support growth opportunities for all student employees. The incumbent will manage all aspects of the student employee hiring, scheduling, onboarding, and off boarding processes as well as recruitment, performance evaluations, and payroll for student supervisors and student assistants. In their absence, the Assistant Manager will act on behalf of the Head of Library Access Services as the first point of contact for all other library departments and campus partners. This position will be a swing shift, overlapping with the day and evening staff to provide consistent services throughout the workday.  

Examples of Duties: 

Responsible for circulation, reference, and reserves, including but not limited to:  

  • Check out and check in books, laptops, reserve materials and all other library materials according to existing campus and library policies and procedures using the catalog or any other library application as needed;  
  • Resolve patron’s circulation, reserves and reference questions and problems according to established procedures, practices and service policies;  
  • Direct users to appropriate resources within the library and on campus;  
  • Responsible for opening and closing the library, as needed;  
  • Staff the reference and circulation/reserves desks as needed;  
  • Report building and patron issues which cannot be resolved within the library to the appropriate campus agencies;  
  • Notify other library staff and the public of emergency closings.  
  • Function as the main contact for the Library with Facilities, Public Safety, and other campus and off-campus units for building issues and related matter during evening hours of library operations, as needed.  
  • Act as primary administrator for departmental scanning requests. Monitor requests using knowledge of basic copyright and Controlled Digital Lending 
  • Provide instruction in the methods of library research and bibliographic search to students and other users; prepare guides to conducting library research.
  • Assist patrons with printing, scanning, and copying in the library, escalating questions and issues regarding printing, scanning, and copying to appropriate IT and campus staff according to established workflows when first-level support is not sufficient; assist patrons with microform readers and printers; 
  • Record all patron interactions for statistical reporting; 
  • Management and supervision of Circulation student staff 
  • Assess hiring needs; carry out all aspects of the hiring process from working with Student Employment to post vacant positions, to interviewing, to hiring, to onboarding while adhering to established timelines in order to best support the day-to-day needs to the public service desks. Ensure student staff receive all of the necessary tools for their position(s), including submitting key requests, granting access to library applications as appropriate, adding to email lists and Teams channels as needed, and communicating with the Library Administration Office to enter ePAFs for hiring. 
  • In consultation with the Head of Library Access Services, develop and administer leadership and skills training, creating training materials and documentation for processes and policies 
  • Create semester and weekly schedules; update records as changes occur; problem solve when scheduling issues arise to ensure adequate coverage of the public service desks in the Library 
  • Assign, monitor, and evaluate the student employees' work; liaise with Circulation department full-time staff members to ensure student employees are maintaining the highest standards of patron service. 
  • Enter weekly payroll for student employees including inputting weekly hours in HR Direct; maintain accurate records and submit weekly to the Library Administration Office. 
  • Maintain Libguide for student employees; Coordinate with the Head of Library Access Services to create and implement new policies; update Libguide as new policies are adopted 
  • Establish expectations and standards for student employees; assess performance issues for student employees in order to take corrective action beginning with retraining, coaching and extending to termination when appropriate; Provide progress monitoring and performance reviews for student supervisors and student assistants to document accountability tracking for student performance 
  • Keep lines of communication open, clear, and constructive while providing regular feedback and coaching; 
  • Foster a supportive environment encouraging growth while encouraging students to hone their professional skills; Promote and provide appropriate professional development opportunities for student employees 
  • Manage all off-boarding procedures, including removing employees from email lists, Teams, and any other relevant applications. Practice clear communication with the Library Administration Office to ensure ePAFs are entered in a timely manner.  
  • Participate in any Healey Library professional working groups related to student staff 

Qualifications: 

Applicants must have at least (A) two years of full-time or equivalent part-time, paraprofessional experience as a library assistant and (B) of which at least one year must have been in a supervisory capacity, or (C) any equivalent combination of the required experience and the substitution below.

Substitutions: I. An Associate's or higher degree may be substituted for a maximum of one year of the required (A) experience.* *Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

Ability to work the schedule needed and remain flexible to changes in work schedules as the academic calendar and library schedule change is required.
