General Summary: 

Registrar Technical Specialists are subject matter experts in one or more areas of work carried out by the Registrar’s Office: registration, records, graduation, scheduling etc.  Registrar Technical Specialists are responsible for carrying out the regular business practices associated with each of those areas.  They will be responsible for keeping up to date on academic and University policies associated with their areas and be able to apply those policies and practices to their particular area of responsibility.  They are responsible for developing and implementing business practices for their areas that are in compliance with University policies, academic requirements and legal requirements (FERPA, etc). Technical Specialists serve as first points of contacts for students and other business offices regarding matters related to their areas, including acting as primary liaisons for their areas to Undergrad Studies, University Advising, One Stop, Graduate Studies, Financial Aid, Admissions, etc.  They are expected to develop expertise in the particular software programs and applications required in their areas which may include: PeopleSoft, the CollegeSource degree audit system (uAchieve), Perceptive Content, Salesforce, Acalog, Curriculog, etc.  In addition, Technical Specialists will share in covering office-wide responsibilities including phone and email coverage.

Examples of Duties: 

  • Review and evaluate undergraduate and graduate student records for graduation clearance; certifying or   denying  all student graduation applications;
  • Gain a thorough understanding of the UMBOS graduation policies and procedures;
  • Responsible for the accurate record maintenance and evaluation of all currently attending and former students at the university;
  • Interpret, troubleshoot, and correct inaccuracies in student records and understand the application of all record related business practices;
  • Gain a thorough technical understanding of how the current PeopleSoft student information system (SIS) interfaces with other supporting third party student applications, such as, uAchieve, Planner, Scheduler, etc. in the mission of clearing students for graduation
  • Provide guidance and advice to students, faculty, and other staff on all graduation related business
  • Work in partnership with the Degree Audit Specialists to analyze the degree audit system configuration and make technical suggestions for improvements
  • Assist Degree Audit Specialists with the technical interpretation of graduate and undergraduate degree requirements
  • Become adept at reading, interpreting, and analyzing the degree audit report and understanding how it interfaces with the student record system
  • Build and run batch degree audit reports for academic departments to perform graduation reviews
  • Submit transfer credits into the uAchieve system and monitor successful upload into PeopleSoft
  • Identify inaccuracies in student records using the custom Discrepancy Report or Department Center reports and make corrections when needed in WISER and/or uAchieve
  • Configuration of all  exceptions, substitutions, and waivers  submitted by academic departments in both PeopleSoft and uAchieve
  • Process AP  test credits and CLEP credits to student records
  • Manage and organize the honors, distinctions, and awards lists across all departments on campus
  • Assist with answering incoming emails and phone calls to the graduation specific accounts
  • Engage in all graduation related duties, and other Registrar office duties as assigned.


Incumbent must have a minimum of three (3) years of full-time experience in the maintenance and configuration of a student information system, such as PeopleSoft, Banner, etc. Experience in higher education in a Registrar's Office is preferred.  Understanding of the CollegeSource suite of products is highly preferred.

  • Familiarity with university academic policies;
  • Knowledge of student records business processes, including FERPA, etc.;
  • Understanding the relationship between a student information system and any external systems or interfaces to accurately analyze data and manage student records;
  • Proficient in Microsoft Office;
  • Ability to work independently and make decisions regarding graduation issues;
  • Ability to work successfully as a team member;
  • Ability to work under pressure with minimal supervision and to take initiative;
  • Strong oral and written communication skills;
  • Solid  organizational and interpersonal skills;
  • Strong commitment to customer service.
