General Summary: 

Under the direction of the Assistant Dean for Administration and Finance (AD), the Library Desks Service Manager (LDSM) provides leadership, direction, and directly supervises day-to-day circulation, reserves, media desk, and reference desk staffing and operations. The LDSM develops policies and procedures, documents workflows, reviews job descriptions and job assignments, performs evaluations, and assists the AD in the implementation of changes in services. The incumbent also recommends policy changes including eligibility policies as needed, and implements those approved by the AD. The LDSM provides control over services provided to other institutions such as the Boston Library Consortium, the Massachusetts Conference of Chief Librarians in Public Higher Education Institutions, and the Fenway Library Consortium. The LSDM coordinates delivery of approved library services to visiting scholars and to others who are sponsored by units on campus through the contingent worker process and is a member of the library's management team. The incumbent works with other library and campus staff to insure accurate, effective, and courteous service and referrals.

Examples of Duties: 

  • Responsible for the day-to-day operations of all circulation functions in the Healey Library; open and close the library and circulation department according to established procedures, including all evening and weekends hours and report building and user problems; recommend circulation and user eligibility policies and procedures and document work flows;
  • Schedules circulation, reserves, media desk, and reference desks staff and students hours; supervises the work of the circulation staff; and evaluates staff performance.
  • Promotes and enforces effective customer service: provides library users with courteous and effective library services and works with other staff to ensure accurate, effective and courteous service and referrals.
  • Responsible for overseeing all evening hours library operations
  • Develops, implement, and oversees training for all staff and student workers who staff the circulation, reserves, media desk, and reference service points in the library
  • Develops and maintains accounts receivables for circulation and maintain records of fine payments received;
  • Assess requests for appeal of fines and fees and communicate decision to uphold or waive.
  • Supervises and evaluates the performance of circulation, reserves, media desk and reference service desk staff
  • Recommends circulation policies and procedures, documents works flows, reviews job descriptions and job assignments, performs evaluations, and initiates or recommends appropriate work methods to enhance ort improve daily operations.
  • Recommends, develops, and implements, with the approval of the AD, changes of in-house services, new service offers, access to the Boston Library Consortium, as well as other access arrangements where Healey Library partners with other institutions to offer extended library service.
  • Responsible for recommending user eligibility policies, as well as responsibility for day-to-day running of all circulation functions including the managing building and security issues evenings and weekend.
  • Provides timely updates to the AD and library administration team members, re/services issues, policies and incident reports.
  • Oversees circulation desk staffing during the evening and weekend hours; oversees the shelving of books; and oversees training for the department's staff and student workers.
  • Provides circulation services including check out of materials; discharge of materials; and resolving user questions and problems according to established procedures and policies.
  • for building oversight including but not limited to opening and closing the library and circulation department according to established procedures; exercising good judgment in reporting building and user problems which cannot be resolved within the library to appropriate campus agencies; notifying other library staff and the public of emergency closings; enforcing library policies throughout the building e.g. quiet in the quiet areas etc.
  • Oversees the collecting and recording of library user statistics.
  • Coordinates stack maintenance activities such as shelving books and other materials which requires the strength to move loaded book trucks and the flexibility to shelve materials on high and low shelves.
  • Organizes and manages major library projects including space utilization and redeployment.
  • Operates appropriate equipment, etc. to discharge duties.
  • Participates in policy and procedures development.
  • Offers basic reference service to library patrons if needed.
  • Participates in the library leadership team
  • Other duties as assigned.

Qualifications: 

Bachelor’s Degree and a minimum of 3 years of supervisory/management experience required, preferably in a library environment.  Previous supervisory/management experience is required.  Ability to work the schedule needed and remain flexible to change work schedules as the academic calendar and library schedule changes is required.  An additional 4 years of supervisory/management experience can be substituted for the required Bachelor’s Degree.

Preferred Qualifications:

  • Prior library experience preferred. 
  • Familiarity with an Integrated Library System (e.g. Ex Libris Alma) preferred.

Knowledge, Skills and Abilities:

  • Intermediate level expertise with MS Office Suite and other administrative software applications
  • Ability to analyze policies and procedures and make timely recommendations for improvements;
  • Ability to inspire and develop an effective and productive work environment;
  • Ability to work in teams and develop team-management solutions as needed;
  • Ability to work independently, in a demanding work environment, with minimum or no supervision and meet expected services outcomes;
  • Strong oral and written communication skills;
  • Strong organizational and problem solving skills;
  • Strong commitment to customer service
  • Demonstrated experience in providing courteous and effective service in a busy, customer-service oriented working environment.
  • Demonstrated ability to work in teams and develop team-management solutions as needed
