General Summary: 

The Assistant Director, Study Away and International Exchange Programs, within the Office of Global Programs, will be responsible for the day to day administration of UMass Boston’s study abroad and study away programs. The incumbent will also assist with the development of new study abroad and exchange programs; will maintain and develop resources and international program materials for marketing and library uses; will coordinate study abroad orientations and presentations; and ensure that students, faculty, and staff travel as part of a study abroad or away program are registered in the Terra Dotta Travel Registry system and risk and safety policies are followed.   She/he will oversee advising for outgoing UMass Boston study abroad/study away students and incoming international and domestic exchange students and will provide study abroad advising as needed. 

 

Examples of Duties: 

  • Manage the day to day operation of the university’s study abroad and exchange programs and ensure services align with best practices for first generation college students; serve as the contact person for partner university student exchange programs (outgoing and incoming exchanges) and for study abroad providers; maintain regular communication with the partner universities and exchange providers regarding UMass Boston students studying abroad.
  • Oversee the maintenance of a library and online database of study abroad programs offered by UMass Boston and external service providers outside of UMass Boston. Create and disseminate program information to market study abroad, study away, and faculty-led programs and recruit potential participants.
  • Oversee study abroad advising and ensure students have access to comprehensive information about opportunities and programs and they receive assistance with completion of the applications, and procedures for departure to study abroad; provide study abroad advising as needed. Assist students in securing the required pre-approval for credit transfer; consult with academic departments on issues related to international course syllabi and content, and provide advice and problem solving services to students for academic issues associated with credits earned during study abroad/study away program;
  • Implement reciprocal student exchange agreements and ensure that the agreed upon balance is maintained; ensure that outgoing and incoming students fully understand all of the costs associated with the program.
  • Process international exchange student applications; collaborate with academic departments to register students and to address any course equivalency and/or pre-requisite issues prior to incoming exchange students’ arrival; consult with academic departments on issues related to international course syllabi and content.
  • Serve as the campus National Student Exchange (NSE) coordinator including, actively promote the program to students and faculty; manage the successful transition of outgoing, incoming and returning NSE students; maintain appropriate records of exchange applications and activity; evaluate the NSE experience for both outgoing and incoming students.
  • Coordinate the pre-departure orientations held in January and in May.
  • Market study abroad/study away opportunities including:
    • Plan and organize the bi-annual study abroad fair, including space reservations, invitations to providers, meals, parking tickets arrangements, equipment and promotion in print, via email, on the web, etc.
    • Coordinate on-campus study abroad information sessions; conduct classroom presentations promoting study abroad programs; and any additional events needed to promote study abroad;
    • Assist Executive Director and other Office of Global Programs staff in the coordination of departmental annual events, such as International Education Week, Welcome Days, Transfer Days.
    • Oversee the maintenance of the UMass Boston study abroad and exchange program pages on the departmental website.
  • Work closely with International Student and Scholars Services to ensure incoming exchange students complete all visa/immigration application processes and that students maintain compliance with the terms of their visa for the duration of their tenure at the university; work with ISSS to ensure that outgoing study abroad students complete all required visa and immigration processes.
  • Assist the Associate Director in the development of new study abroad/study away programs, including the execution of student to student exchange and faculty led program MOU’s; assist with the development of contracts with external providers of study abroad programming.
  • Keep up-to-date with Department of State travel warnings and maintain expertise on international travel risk and emergency management.
  • Ensure that students, faculty, and staff travel as part of a study abroad or away program is registered in the Terra Dotta Travel Registry system; assist with the registration process; maintain current knowledge of Terra Dotta Travel Registry functionality.
  • Oversee the in-house scholarship award program (approximately $10,000 per year for winter and summer scholarships).
  • Supervise and evaluate the OGP Global Ambassador Program. Ensure that students appointed as Ambassadors receive adequate training to help advise peers on study abroad options.
  • Maintain study abroad database and generate statistical reports to track and monitor the status of growth of these programs;
  • As needed and with guidance from the Executive Director, serve on campus and system-wide committees and working groups, as well as office representative to organizations pertaining to study abroad and international exchange programs; attend regional and national meetings and conferences, as needed, in order to stay current with policies and procedures pertaining to study abroad and international exchange programs and to increase professional development in the field of international education;
  • Perform other duties as assigned.

 

Minimum Qualifications: 

Bachelor’s Degree and a minimum of 3-5 years of work experience in study abroad and international exchange programs, within higher education, required.    Knowledge of standards governing the study of international exchange students is required. Demonstrated ability to implement study abroad and exchange programs is required.  Familiarity with United States visa/immigration and other regulations pertaining to study abroad and international exchange programs required.

 

Preferred Qualifications:

  • Experience working with university students and experience working at a four-year public university is preferred.
  • Knowledge in a second language other than English is desirable. 
  • Personal study abroad experience
  • Supervisory experience
