General Summary: 

UMass Boston’s TRIO Upward Bound Math-Science and TRIO Talent Search programs identify and assist youth in preparing to enroll in and complete programs of post-secondary education. The Program Assistant will provide clerical assistance to the Director of Programs, Associate Director of Programs, and the Talent Search Counselors (2).

The Office Assistant will provide general administrative support for UMass Boston’s pre-collegiate TRIO Upward Bound Math-Science (UBMS) and TRIO Talent Search-Lawrence (TS-L) programs. The incumbent will assist staff with routine office functions; collect and enter student data into the program databases, which are used in part for federal reporting. They may help produce newsletters, social media posts, and the like; and may assist in planning and implementing student trips and events.

Examples of Duties: 

  • Maintain student records (digital and hard copy): scan student and program records and upload to the programs’ online StudentAccess databases; enter student data; create student files and maintain orderly files in cabinets
  • Assist with the collection of student application materials, medical/vaccination records, and the like, by contacting students, families, and school personnel for copies of records, parent/guardian signatures, etc.
  • Assist in processing participant applications and sending program acceptance letters
  • Help to manage UBMS/TS-L department emails
  • Reach out to/follow up with students and their families via phone, email, text, and social media to remind them of upcoming events.
  • Send communications (emails, phone calls, etc.) to verify students’ postsecondary enrollment status
  • Assist UBMS and TS-L staff with event planning and may assist with chaperoning college visits, college fairs, and field trips for program participants
  • May help produce newsletters, social media posts, and the like
  • Other duties as assigned

 

Qualifications: 

  • Experience working in an educational or office setting
  • Undergraduate, recent college graduate, or graduate student status
  • Familiarity with online databases
  • Proficiency with Microsoft Office suite (Word, Excel, PowerPoint) virtual meeting platforms (Teams, Zoom) and social media (e.g., Instagram)
  • Good communication skills (verbal and written) professionalism, and commitment to customer service
  • Spanish/English bilingual, preferred
  • Ability to maintain confidentiality with student information and records as required by the federal Family Educational Rights and Privacy Act (FERPA)
  • Experience with multi-racial/ethnic populations
  • Ability to coordinate and implement student activities


Logistics

  • This is a non-benefitted position.
  • Hourly pay: $25/hour
  • Schedule: Typical business hours: up to 35 hours/week through 8/31/25, then up to 18 hours/week thereafter; Start as soon as possible.
  • Office Location: UMass Boston, McCormack Building, 3rd floor, room 704
  • Reports to the Director of Programs, UBMS and TS-L
