General Summary:
The Program Assistant for the Department of Urban Public Health (UPH) in the Manning College of Nursing and Health Sciences (MCNHS) supports the chair and faculty of the UPH department. The UPH Department was launched in Fall 2023. The Program Assistant will help support this exciting and important new educational program. The mission of the program is to promote health equity in urban populations. We aim to provide students opportunities to address health disparities and health education/promotion in the urban context. The program will provide students fundamental knowledge of public health science, education, and practice as well as an aptitude for critical problem solving, analysis and interpretation of data, and an understanding of socio-economic and cultural diversity among people in urban settings.
The Program Assistant will assist with the overall responsibilities of the UPH department, including recruitment, pre-advising, practicum placement processes, and completion verifications. This role includes triaging all relevant program inquiries, data collection for internal and external reporting, assistance with funding proposals, and managing a database of alumni. The incumbent will serve as a liaison with various college and university offices and check student compliance with university policies and program requirements.
Examples of Duties:
- Manages the general administration of the academic programs with a focus on continuing students’ retention and enrollment; respond to questions about the programs’ requirements, procedures, financial aid opportunities and costs, as well as requests for continuing program information; maintain secure e-files on all students admitted and enrolled in the program.
- Coordinates and updates all scheduling of classes with designated CNHS scheduler in a timely and precise fashion.
- Organize faculty meetings during the academic year, maintain minutes of these meetings both written and online versions; provide on-going administrative support to maintain the focus and purpose of these initiatives.
- Draft, edit, and maintain written materials, including but not limited to the student handbook.
- Acts as a liaison with the Registrar’s Office on matters related to registration, declaration of concentrations, departmental and/or program awards, and graduation needs of students.
- Serve as point of contact for all admission inquiries of interested students and apprise them of eligibility; manage the online information for prospective applicants and update program webpages to ensure accuracy of data.
- Inform students regarding pre-enrollment documents in collaboration with Admissions Department to ensure a timely, efficient, and accurate application review process’ send notification to students regarding recommendation for admission; follow up with posting in database when student submits deposit.
- Maintain a database that assists the chair that reflects the status of applicants, as well as current information on active and inactive students to track student progression status.
- Work with chair and faculty on all issues related to notification of students who are at risk of failing; retain a copy of the
- warning in student’s file, and follow-up with all students regarding their status of incompletes and referrals.
- Collaborate with MCNHS staff and administrators to ensure that all current and prospective UPH students are appropriately advised, registered and tracked including assisting with registering all matriculated UPH students. Participate in recruitment initiatives, including open houses, and managing information tables at various on and off campus events.
- Assist with UPH student practicum placements, including helping to identify opportunities and keeping track of student experiences and progress using appropriate tracking systems.
- Coordinate program communications to UPH students, including timely notification of dates to file for graduation, conduct semester reviews of student compliance with their program plans and completion requirements; notify students on the process to apply for certification exams.
- Perform other duties as assigned.
Qualifications:
Bachelor’s degree required and a minimum of one-three years of work experience in higher education is required.

Knowledge, Skills and Abilities
- Knowledge of Microsoft Office and other software systems.
- Ability to access and enter data from information management systems and student information systems accurately.
- Ability to analyze data and other information by utilizing and maintaining spreadsheets and databases.
- Strong organizational skills including creating and communicating timeframes to students so that they start on track and stay on track in their program.
- Ability to understand and interpret the various requirements of UPH programs.
- Ability to work in a highly collaborative setting with diverse faculty, staff and student populations.
- Ability to prepare written reports, correspondence and recommendations.
- Ability to work independently and efficiently.
- Ability to handle confidential material.
- Strong commitment to customer service.
