General Summary: 

The Associate Director of Athletics (AD) for Facilities, Operations, and Sport Administration will provide leadership and oversight of all athletics and recreation facilities and operations and will work closely with university facilities staff on current facility improvements, renovations, and new construction. The Associate AD will also serve as a sport administrator for multiple programs, overseeing Head Coaches and Assistant Coaches of those sport programs.

The incumbent is responsible for the direct oversight, policy development, budget and personnel management for all facilities, facility maintenance, capital projects and construction. The Associate AD will be responsible for developing and implementing a plan for continued upkeep and advancement of facility needs throughout athletics. The Associate AD will serve as the department lead on campus and capital planning for all athletic related facilities.  The Associate AD will ensure clear communications and coordination in scheduling facilities and events with coaches, athletic department staff and other campus staff, as well as ensure compliance with all federal, National Collegiate Athletic Association (NCAA), conference, university, and state regulations as they relate to athletics facilities. The Associate AD will also be responsible for oversight of all non-communications game management functions.

As a sport administrator for multiple programs and part of a team of sport administration liaisons, the incumbent will be responsible for all facets of sport program oversight including program and Head Coaches’ performance, budget planning, goal setting, and long-range planning.

Examples of Duties: 

Leadership

  • Provide leadership and guidance to the Director of Athletics and Recreation, the department and campus on all facilities and operations related matters for the Department of Athletics and Recreation.

Facilities and Operations

  • Lead, develop and manage the facilities master planning initiatives for athletics and recreation facilities and work strategically with other members of athletics department leadership team to improve facilities processes and policies on a continual basis;
  • Assist with the development of short-and long-range plans for facility renovations; serve as athletic department project coordinator for facility renovations, remodeling and development;
  • Plan and monitor budgets for facility projects; review procedures to establish maintenance schedule of equipment and facilities; Assist with budget evaluation and planning to continually improve funding toward facility and service improvements;
  • Manage the schedule for athletics and recreation facilities in their use for intercollegiate, recreation, campus groups and external groups. Handle contract agreements and liability forms for facility rentals; work with Associate Business Manager to ensure proper payment for rentals;
  • Collaborate with partner areas within Campus Master Planning and University Facilities to plan short and long term opportunities to provide improvements to both indoor and outdoor athletics and recreation facilities, including more efficient execution of deferred maintenance projects;
  • Oversee the coordination of work orders with the university’s Department of Facilities and provide follow-up as needed to ensure that work is completed properly and in a timely manner;
  • Develop, implement and supervise building policies and procedures relative to the operation, management and maintenance of all athletics and recreation facilities; 
  • Collaborate with Environmental Health and Safety (EHS) to develop emergency procedures, as well as establish, interpret and review athletic/recreational facility safety policies and procedures; maintain certifications, safety records, reports, and effective communication with outside agencies;
  • Develop and implement security policies and procedures for all athletics and recreation facilities, in conjunction with public safety and other appropriate constituencies;
  • Design, implement, and maintain a planned maintenance program for all athletic facilities including a task and frequency schedule; Coordinate current maintenance and repair needs, and serve as the primary point person for vendors and external contractors providing service in all athletics and recreation facilities;
  • Ensure the physical appearance of all athletics facilities reflect a safe, clean and inviting atmosphere.
  • Hire, train and supervise Athletic facilities personnel; provide and coordinate staff training;  Perform annual appraisals in accordance with University policy.
  • Oversee all non-communications game management including staffing.

  • Coordinate the departments use of external facilities and manage Monan Park yearly schedule.

Sport Administration

  • Serve as the sport administrator for select sport programs.
    • Oversee Head Coaches and Assistant Coaches of sport programs, providing them with leadership and mentorship, assistance with development of aspirational goals, adherence to those goals, successful administration of budgets, and development of recruitment strategies.
      • Evaluate coaches’ performance on a yearly basis.
    • Assist and collaborate with Director of Athletics & Recreation and other sport administrator/s in analyzing each sport program to evaluate and ensure success in academics, athletic competition, and the student-athlete experience.
  • Perform other duties as assigned.

Qualifications: 

Bachelor’s Degree in sports administration, facilities management, or other relevant field, Master’s Degree preferred, and a minimum of ten-plus (10+) years of full-time experience in athletic operations, construction management or facilities development/management, preferably at a National Collegiate Athletic Association (NCAA) institution, required. Demonstrated knowledge of construction codes, health and safety regulations, financial and management practices, purchasing, and state and local regulations regarding the maintenance of buildings and equipment required.  Demonstrated experience and comprehensive knowledge and understanding of athletic facility development, facilities operations and supervision in an intercollegiate setting strongly preferred. Leadership in Energy and Environmental Design (LEED) accreditation preferred.  Occupational Safety and Health Administration (OSHA) safety certification preferred. 

  • Knowledge and proficiency of various administrative software applications and programs, including Microsoft Office;
  • Demonstrated experience in budget preparation & management
  • Demonstrated ability to exercise sound judgment and handle confidential information with discretion;
  • Ability to direct, prioritize, and perform detailed work with accuracy under time constraints;
