General Summary: 

The Business & Operations Manager leverages their organizational skills and service ethic to support a transformative collegiate environment centered on developing an anti-racist, health-promoting community. Reporting directly to the Assistant Vice Chancellor for Campus Services, the Business & Operations Manager serves as the primary point person for all aspects of Meal Plan administration, assists with fiscal and resource management, as well as purchasing and human resources activities for the Department of Campus Services. This position also assists with contract management and all aspects of marketing for the department. The position involves communications and interactions with students, faculty and staff, and the public. Campus Services, which reports through the Vice Chancellor for Administration and Finance, includes the following departments: Campus Center, Bookstore, Dining Services, Print & Mail Services, Marine Operations and Transportation Services.

Examples of Duties: 

  • Meal Plan Administration: assist in managing all aspects of the residential and voluntary Meal Plans offered on campus including:
  • Maintaining student and/or employee meal plan records and reporting data utilizing the Meal Plan software (currently Atrium);
  • Programming and maintaining meal plan parameters;
  • Perform auditing and reconciliation functions related to the administration of residential and voluntary Meal Plans;
  • Student bill interfacing;
  • Update student records as required including enrolling and removing plan participants;
  • Develop communications and marketing materials when required;
  • Manage relevant communications with students and families;
  • Collaborate with various departments including Student Affairs Technology Services, Housing, COCM, Financial Aid, Bursar, IT, etc.;
  • Utilize software including Atrium and Cybersource.
  • Support the department in matters relating to budget and finance, human resources, procurement, and accounts payable; provide departmental support for budget preparation & budget tracking
  • Provide support for the department’s capital budget including purchasing and tracking of new and replacement equipment purchases
  • Maintain and update department equipment inventory
  • Provide support for various department business related functions including creation of contracts, purchase orders, maintenance of procard records, journal entries, purchase of supplies, etc.
  • Support the department’s contract management and procurement process as appropriate
  • Manage and maintain relevant department social media accounts and websites
  • Provide logistics support for meetings and events
  • Assist in the development of short and long-term department goals
  • Support department-wide reporting & assessment function
  • Participate in department-wide strategic planning activities
  • Participate in university-wide events, such as Open House, Welcome Days, Commencement, Orientation, etc.
  • Represent Campus Services at appropriate internal and external meetings as needed
  • Prepare and write reports, memos and other documents on a wide range of departmental issue
  • Maintain confidentiality regarding all work related to the department
  • Perform other duties as assigned

Qualifications: 

Bachelor's degree or equivalent and a minimum of one-three years of experience working in higher education or related field. Knowledge of Meal Plan administration and general business administration preferred. Knowledge of UMass Boston policies and procedures a plus.

  • Knowledge of software applications, including office software and database management
  • Knowledge of standard office procedures
  • Ability to work collaboratively in a team as well as independently with limited supervision
  • Ability to establish rapport and maintain harmonious working relationships with persons from varied ethnic, cultural and/or economic backgrounds
  • Excellent interpersonal skills and a high level of individual judgement required
  • Ability to exercise discretion in handling confidential information with tact and diplomacy
  • Ability to maintain accurate records and attention to detail required
  • Ability to manage and supervise student staff
  • Strong oral and written communication skills
  • Strong organizational skills
  • Strong interpersonal skills, with the ability to resolve complaints and conflicts either over the phone or in person calmly
  • Strong commitment to customer service
