General Summary: 

The Grant and Business Manager for the College of Science and Mathematics will provide professional support to the Assistant Dean for Finance and Administration by assisting with complex budget and grants administration and various human resources activities. The Grant and Business Manager is responsible for the financial management and administration multi-dimensional functions directly associated with the grants including, but not limited to: budget preparation, account maintenance, personnel actions, funding and expenditure reporting, grant-related purchasing activities and preparation of all grant-related financial and personnel paperwork. This position will work with the departmental staff members (business managers and administrative assistants) in order to coordinate and oversee grant functions that are completed by the departments. Additionally, the Grant and Business Manager will monitor and prepare reports on revenue and expenditures for six departments/academic programs, three centers (including Student Success Center) and the CSM Dean’s Office; will manage and oversee purchasing and accounting activities for each unit. The Grant and Business Manager will oversee all paperwork related to personnel actions and hiring activities excluding new faculty searches.
The College is home to active faculty; close to 100, tenured and tenure-track, bringing in $10 Million in extramural funds.

Examples of Duties: 

  • Provide professional support to the Assistant Dean for Finance and Administration in all budget, grants and human resource activities for the College of Science and Mathematics (CSM);
  • Assist CSM faculty (close to 100 tenured and tenure-track) with research grant portfolios, pre- and post- award procedures and grant submissions; * Prepare financial reports for all ongoing grants within the College;
  • Responsible for the financial management and administration functions associated with grants including budget preparation, account maintenance, personnel actions, funding and expenditure reporting, grant-related purchasing activities and preparation of all grant-related financial and personnel paperwork; ensure that sponsored awards are expensed in accordance with university institutional and research sponsor policies and practices;
  • Monitor effort allocation on each research project and ensure that expenses do not exceed revenues;
  • Collaborate with the Office of Research and Sponsored Projects (ORSP) on all grant-related activities, including grant preparation, submission, account setting, implementation and monitoring;
  • Provide oversight and fiscal management assistance to departmental staff with grants administration and activities related to their department activities;
  • Assist with planning, receiving and program implementation for the budgets related to gifts and corporate grants that the College has received (totaling up to $2.5 Million);
  • Assist with interpreting and implementing the university’s Finance and Administration policies and procedures, including but not limited to those of the Office of Research and Sponsored Projects;
  • Manage and oversee all purchasing and accounting activities for CSM departments, as well as the Student Success Center and the Dean’s Office;
  • Assist departments with all personnel-related actions and oversee paperwork and hiring activities (excluding new faculty search and recruitment);
  • Monitor and prepare CSM monthly budgetary reports, salary costs and supply costs;
  • Coordinate monthly PeopleSoft reporting on revenue and expenditures for all CSM departments, as well as the Student Success Center and the CSM Dean’s Office;
  • Develop and manage financial records for various research and student success programs and projects;
  • Perform other duties as assigned.

Qualifications: 

Bachelor’s Degree and a minimum of three-five (3-5) years of experience in grant and budget preparation and management in an academic and/or research setting required. Extensive experience in developing and designing spreadsheets required.

Preferred Qualifications:

  • Demonstrated knowledge of automated accounting systems preferred.
  • Experience with federal grant proposal development and federal grant administration policies preferred.
  • Knowledge of university administrative procedures preferred.

Knowledge, Skills and Abilities:

  • Knowledge of various administrative software applications and programs, including Microsoft Office;
  • Ability to plan and manage multiple projects simultaneously and balance priorities;
  • Ability to manage complex tasks under time constraints, while maintaining strong attention to detail;
  • Ability to work effectively and efficiently in a team capacity with a broad range of staff to accomplish departmental, program and university goals;
  • Ability to successfully contribute to the smooth operations and efficient financial management of the college;
  • Ability to approach the position in a results-oriented sense of responsibility, collegiality and collaboration;
  • Ability to respond tactfully and professionally to the needs of the college;
