General Summary: 

The Director of Operations will be responsible for managing the day-to-day operations of the Institute for Early Education Leadership and Innovation as it grows to the next level. The Director of Operations reports to the Executive Director and works with the ED and other members of the leadership team to set strategy for the Institute’s long- and short-term goals, translating these into operational objectives. As a member of the Institute’s Leadership Team, this individual is a thought partner in identifying, analyzing, and supporting Institute-wide goals with the overarching goal of maintaining and growing stable funding. The incumbent must have knowledge of grants, grant deliverables, contracts, reporting, data analysis, communications, and event management, with a broad comprehension of early education. This position is responsible for managing contracts and procurement, oversight of communications, event planning, and tracking grant deliverables. The Director of Operations will utilize data from multiple UMass systems and use business intelligence tools to inform strategy. This position requires a proactive, versatile, steady, and creative individual who enjoys managing multiple projects, and interaction with a variety of stakeholders at all levels.  

Examples of Duties: 

  • Oversee all contracts, grants, and deliverables, ensuring accurate data capture and tracking, and consistent, timely reporting to funders;
  • Provide calm and steady guidance to senior staff and dotted-line reports to ensure they have the information, tools, and resources needed to meet the expectations of the ED and funders, checking in with staff regularly to be sure all data and deliverables are on track;
  • Plan and manage logistics for annual, high-level Institute events, including conferences, forums, and convenings, setting budgets, working closely with colleagues and internal departments, negotiating contracts with internal and external vendors, delegating tasks, and communicating regularly with all stakeholders;
  • Develop and maintain strong relationships with third-parties (vendors, suppliers) and manage the contract process through the UMass system to ensure smooth and timely procurement and vendor payments;
  • Oversee development of an annual communications plan in partnership with the Communications consultant, ED, and staff members to conduct outreach to various stakeholders and publicize the work of the Institute, such as partnerships and collaborations, Institute events, research projects, innovative classrooms, and workforce development;
  • Analyze marketing and communications effectiveness and return on investment for diverse marketing strategies;
  • Produce executive-level reports and analysis;
  • Represent the Institute at meetings and other events;
  • Serve as a liaison with Institutional Research to ensure streamlined reporting efforts, in compliance with Federal, state and institutional deadlines;
  • Support Executive Director with staff and hiring, helping to develop job descriptions, staff development, and conduct employee evaluations;
  • Report regularly to ED on projects and Institute-wide initiatives;
  • Serve as a member of the Institute Leadership Team;
  • Other duties as assigned.  


Required Qualifications:

  • MPA or MBA and 15 + years of related experience
  • Familiarity with UMass Boston’s internal systems and protocols
  • Proven ability to manage budgets, communications, events, people and projects
  • Comfort and experience in a start-up environment
