REPORTS TO: University Registrar    

SUPERVISES: Provides direct supervision of clerical staff and functional supervision in areas of responsibility of other staff.

SUMMARY PURPOSE OF POSITION: The Assistant Registrar supports the management of the registration, records, retention, and customer service initiatives of the Registrar's Office.  Follows the University’s best practices to build and/or support student academic success and retention, and assist in meeting strategic objectives for persistence and timely graduation of the entire student population.

EXAMPLES OF PRIMARY DUTIES AND RESPONSIBILITIES:

  • Manage university withdrawal/leave of absence requests, including advising students on alternative options to leaving and potential impacts, with outreach to appropriate university stakeholders, including faculty, College/School Deans/Chairpersons, Student Affairs, Institutional Research, Bursar, Financial Aid, Housing, and other relevant departments.
  • Coordinate return from leave of absence, readmission requests, and facilitate students returning with appropriate university stakeholders, including College/School Deans/Chairpersons, Student Affairs, Institutional Research, Bursar, Financial Aid, Housing, and other departments.
  • Monitor, research, communicate, and assist in the re-enrollment of students who are on an approved leave of absence or “stopped out” without a formal withdrawal.
  • Manage timely and accurate reporting of enrollment and graduation data to the National Student Clearinghouse and National Student Loan Data System, including file submission, error reports, and data correction, ensuring compliance with all Federal and state reporting regulatory requirements.
  • Manage faculty class roster verification process and careful review of F-graded/never attended students, complemented by targeted outreach to students and involvement of other areas as needed to support students facing challenges.
  • Supervise daily operations and coordination of Registrar’s Office processing, including directing clerical and functional operations within individual’s area of specialization, including management of workload allocation, performance planning, and staff development.
  • Monitor daily volume and status of electronic forms for withdrawal/leave of absence, grade changes, incomplete requests, program/plan and concentration changes, course overloads, degree certification, and other forms to ensure timely processing.
  • Serve as an escalation point for students, faculty, and academic and student affairs units with any issues or problems related to Registrar’s Office functions.  Resolve complex student cases, appeals, and complaints with fairness and consistency while complying with institutional policies and procedures. Ensure the Registrar and the Associate Provost are aware of these complex cases while working to address them.
  • Assist staff in navigating and resolving registration errors in support of student registration activity, including withdrawal issues.
  • Provide student records training and job aids to new staff and faculty, including, but not limited to, the student information system, electronic forms platforms, student records policies and procedures, etc.
  • Assist Registrar with all communications to students, faculty, and staff in collaboration with Marketing and Student Support Services and other relevant areas, including beginning and end of term processes, policy changes, and important notices.
  • Assist the Registrar with developing and implementing policies and procedures within the office and contribute to departmental goals and objectives.
  • Stay informed of current state and federal regulations regarding student records.
  • Perform other duties as assigned.

MINIMUM QUALIFICATIONS:

  • EDUCATION: Bachelor’s Degree.
  • EXPERIENCE: Significant experience (over 5 years) in a university office associated with student enrollment, registration, course scheduling, advising, and student records using a comprehensive student information system.
  • OTHER: Demonstrated experience in electronic academic record keeping and electronic applications.

PREFERRED QUALIFICATIONS:

  • Master’s Degree
  • Knowledge of PeopleSoft, SLATE, Salesforce, National Student Clearinghouse and National Student Loan Data System enrollment and degree reporting including Financial Value Transparency and Gainful Employment, Oracle Business Intelligence Enterprise Edition (Summit), Microsoft Office.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Proficiency in registration office procedures and college administration.
  • Excellent organizational and communication skills and ability to work with students, faculty and staff.
  • Strong skills in development and maintenance of procedural systems.
  • Ability to work independently.
  • Ability to utilize computer applications such as reporting tools, Microsoft Office (e.g. Word, Excel, PowerPoint) and/or other student databases
